Best-Practice Procedures for Providing Tuition Reimbursement to Employees

This Tuition Reimbursement Policy can be used by employees seeking financial assistance for furthering their professional education. The policy encourages continuous professional development by offering tuition reimbursement to eligible employees who have completed a certain period of service in the company. The eligibility and reimbursement amounts differ for full-time and part-time employees.

However, it does not cover transcripts and administrative costs. Employees must get approval from their immediate supervisor and human resources before starting the course and must pass the course with a minimum grade of “C” or “pass” in a pass/fail system to be eligible for reimbursement. Applications for reimbursement should be made within a reasonable time after course completion and while the employee is still employed with the company.

Best-practice procedures include:

  • To apply for tuition reimbursement, the employee is required to complete the tuition reimbursement form located on the intranet or in human resources.
  • The employee is required to get approval from his/her immediate supervisor and human resources before classes begin.
  • Employees are required to pass the course with a “C” grade or better. If the pass/fail grading system is used, then a “pass” grade is required.
  • Requests for reimbursement must be made while the employee is employed with the company.
